Guest Registration and Extended Stay Forms

Due to policies in the Student Handbook, it is necessary for the Office of Residence Life to track guests of our students staying in the residence halls and track students who would like to stay in the Residence Halls while they are closed for breaks and closings. In order to track this information, students must fill out forms available on the Residence Life page on the Promoting Alvernia eXperiences (PAX) portal. 

Guest Registration Forms

Students are permitted to have guests stay with them in the residence halls as long as they follow all policies as outlined in our student hanbook. Some of the important highlights of this policy include:

  • Guests must be of same gender as the host, with the exception of younger siblings under the age of 13.

  • A student’s right to have an overnight guest is, in all cases, superseded by the roommates’ and/or suitemates’ right to the uninterrupted use of the room/suite. The privacy of the roommate/suitemate will take priority over an overnight guest.

  • Residents may have only two overnight guests per night. Between roommates, there can be no more than three overnight guests per room per night.

  • The same overnight guest is limited to three consecutive nights and may not stay for more than fifteen nights per semester.

  • Overnight guests must be registered with the University; guest may be registered on the Residence Life page on PAX Portal. The guest will be issued an overnight guest pass, which must be carried at all times. If the guest is not properly registered the guest will not be permitted to reside overnight in a campus residence.

To Complete a Guest Registration Form:

1. Go the Alvernia website and click on the Logins page tab at the bottom of the screen

3. Login into the PAX portal and find the Residence Life page

4. Click on the Forms Tab on the Residence Life page

5. Click on the Guest Registration Form and fill out all information

6. Print the Guest registration after completed for your guest

Due: Please do your best to complete the form by the end of business day (M-F at 4:30 PM) the night when your guest is staying. Residence Life staff will do their best to approve the form; however, if it is not approved by the time your guest arrives please print the guest form as their guest pass. 

Holiday and Extended Stay Forms

Students may stay late if needed during building closing and may stay over breaks if approved by the Office of Residence Life. To ne approved, students must complete the Holiday and Extended Stay forms available on the Residence Life page on the PAX portal.

Important: It is important to note that, during holidays and breaks when residence halls are technically closed, the halls are dry and no guests are permitted on campus. This means only approved residents may be on campus. Failure to follow these rules and any rule in the Student Handbook could result in loss of privilege to stay on campus over the break/closing.

Holidays include:

  • Thanksgiving Break
  • Winter Break
  • Spring Break
  • Easter Break
  • Closing of the Semester in May (Extending Your Stay Only-Summer Housing is a different process)
To Complete a Holiday and Extended Stay Form:

1. Go the Alvernia website and click on the Logins page tab at the bottom of the screen

3. Login into the PAX portal and find the Residence Life page

4. Click on the Forms Tab on the Residence Life page

5. Click on the Holiday and Extended Stay Form and fill out all information

6. Click submit and wait for approval

Due: Please try and complete this form at least 48 hours before the start of a break or closing of the residence halls. Completing the form does not guarentee you will be able to stay. All students must be approved by the Office of Residence Life.

Summer Housing & Early Arrivals

Summer Housing

Students are permitted to live on campus in summer housing in a particular assigned residence hall is approved by the Office of Residence Life. Reason why students would be approved to stay on campus over the summer:

  • Summer class or internship for credit
  • On Campus Employment

To apply for summer housing, students should come to the Office of Residence Life in Veronica Hall in late April to complete the application for summer housing.

Students must keep in mind that they will be charged for summer housing based upon the number of weeks they are staying on campus.

Early Arrivals

Students who want to move-in to campus at the beginning of each semester early must be approved by the Office of Residence Life. Due to lack of staff in both January and August, the Office of Residence Life only allows students to arrive early for specific reasons and each student must be approved to move back early. If students are not approved, they will not be permitted to move-in until the halls officially open.
